In this video, we will show you how to integrate SuiteCRM and DocuSign. With this plugin, you can add DocuSign features to SuiteCRM and send documents for e-signing directly from SuiteCRM. Let’s get going. In SuiteCRM, go to the admin menu and select the module loader. Here you can see that the SuiteCRM DocuSign integration plugin by OutRight Store is already installed. Here is the DocuSign admin menu. Step 1 is for license activation. By the time you install the plugin, we’ll automatically activate the license. Let’s move on to the second step, which is DocuSign configuration. To sync your DocuSign account, you need to create a setting. First, give a fitting name. Then choose the environment type either demo or production. Enter an email address at which you would like to receive a daily report of all plugin activities. The API version field is pre-populated and so does the App URL field. The base URL and authorization server fields will fill automatically once you save this setting. In the assigned to, you can choose any SuiteCRM user. In the important credentials sub-panel, we’ll enter the integration credentials. For these credentials, you need to have a DocuSign Developer account. or a sandbox. In DocuSign, go to settings. Then in the left navigation menu, you will find the integrations section. Here, select the Apps and Keys option. From my account information section, copy the API Account ID and paste it to the corresponding field in the SuiteCRM. Next is the integration key that you’ll find in the Apps and integration Keys section in DocuSign. If you hadn’t created an app before then click on the blue add app button on the middle right. Copy the integration key from here and paste it into the corresponding field in the SuiteCRM. Lastly, we’ll be needing to a secret key. For this, go to the DocuSign account and then click on the action dropdown of the app and select the edit option. In the authentication section, you'll find the secret key. Click on the add secret key button and copy the newly generated key. Paste the secret key to the SuiteCRM field. Make sure all provided information is correct and click on the save button. After that, you need to copy these two URLs on top and paste them into DocuSign. First, copy the URL to publish by clicking on the button and then go to your DocuSign account. Then choose the connect option from the left navigation panel. Here, you’ll find the connected apps. For connecting a new app, click on the add configuration button at the top. Since we’ve already created one, we will edit it from the action menu. In the URL to Publish field, paste the URL that you copied from SuiteCRM. In the trigger events section, you’ll find dropdowns. They include data type that is to be synced with SuiteCRM. Please make sure that all fields are selected. Once finished, click on the save button. Now, copy the redirect URL by clicking on the button and then go to the DocuSign account. Here, go into the apps and keys section of Integrations. Next, we’ll go into the edit mode of the same app that we used for the integration key. In the additional settings section, click on the add redirect URL button and then paste the URL that you copied from SuiteCRM. Once done click on the save button. Now that you have entered all integration credentials, you need to click on the sync your DocuSign account now button. If all credentials are correct, you will get a “Successfully Configured” message just like this. And here the configuration comes to the end, which means DocuSign and SuiteCRM are now synced. Go to the admin panel and Click on step three. In this module, you can see all templates that you have in DocuSign. To make sure, let us show the templates in DocuSign. Right now there are only two templates here, which match the number of templates in SuiteCRM. If any template is missed or deleted, then you can use the Fetch All DocuSign Templates button from the centralized menu to get all templates from DocuSign. You can also upload a new template through SuiteCRM. For this, click on the Upload New DocuSign Template button from the centralized menu. You simply need to upload a document and write an email message and click on the upload button. Now let us show you how you can send a template from SuiteCRM for e-signing. First, you need to click on the template that you want to send. In the detail view, you can see information like template name, email subject, and email message. Right now, you can only see two actions, that is template preview and edit template because there are no recipients added in the contacts, leads, targets, or accounts sub-panel. Now, we’ll add recipients in the contacts sub-panel. As you can see, we have added two recipients for this template. Since we added recipients, after reloading the page, you will be able to see other options. Now you have the option to send templates as well. Allow us to explain each one of them. Use the send to separate option, if you want to send the document to each recipient separately. Each individual recipient will receive a unique document for e-signing. Use the send to all option, if you want to send the same document to all recipients collectively. All recipients will be required to sign on the same document. When using any of these two options, you can’t make any changes to the template. The template will be as it is sent to the recipients. If you want to make changes to the template before sending it then use the edit and send on the fly option. This will load your template in DocuSign and you won’t even need to log in. After that, you can make changes like adding new fields in the DocuSign environment. Later on, you can also send the template from there as well. The next option is Template preview. It will show you the existing template but you won’t be permitted to make changes. Finally, the edit template option. Use this option for making changes even when there are no recipients added. As of now, we’ll use this option. By clicking on it, the template will open in the DocuSign environment. And you can notice, we don’t even require to log in. Here, you can drag the fields that you want from the left and use them in the template. For example, we’re using the fields like date signed, full name, signature, and email address. If you want then you can even create custom fields. For instance, we are creating a custom field for the recipient’s phone number. Now to use it, simply drag and drop the field at the appropriate place in the document. Once done making changes to the template, click on the save and close button at the bottom right corner of the screen. You will even get a message in the SuiteCRM stating template successfully saved. Now, we’ll use the send to separate option for sending this template separately to below two recipients. Just like this, you can see the template is successfully sent. In the DocuSign documents subpanel, you’ll be able to see all documents that have been sent corresponding to the recipient’s email addresses. If you click on the document then the detailed view will open. Here, In addition to the email address, you will also see who is the recipient, and the status of the template like sent, delivered, signed, etc. In the signer detailed activities subpanel, you can see the detailed activities of the recipient like when they signed and completed the document. In the same way, you can check the document and signer status for the other recipients. Now, let’s check both recipients’ inboxes one by one. You can see we have received the document. Click on the review document button to open the document. In the document, you can see pre-populated fields like full name, mobile phone number, and email address. The data in these fields are collected from the SuiteCRM automatically. On clicking on the signature field and you’ll get the option to sign the document. The recipient can either select from the predefined signature styles or draw their signature or even upload a signature image. After choosing the signature style, click on the adopt and sign button. The second recipient has also received the document in their email inbox. We’ll now open it and as you can see, just like the first document, here also fields are prepopulated with SuiteCRM data. Now sign this document as well. Please notice, we still haven’t finished either of the documents. Before doing so, we would like you to check the latest DocuSign document status in the SuiteCRM. Once you reload the page, you’ll be able to see the newest status. It is showing the envelope is successfully delivered to the recipient’s inbox. The latest status is updated for the other recipient as well. Now, we’ll finish both documents one by one. Let’s reload the SuiteCRM page and see how the status changes.
