adra Visual Image Policy. Welcome to adra. Today we are going to talk about adra policy concerning visual images. The taking of photos and video footage by adra staff, interns, volunteers, and contractors for use by adra is not unusual. These photos and video footage may be used by adra for a variety of purposes; marketing, promotion, information, presentations, displays, and illustrations, to name a few. The majority of these photos will capture individuals, or families, or groups of people, as adra’s work is people-centered. These people may range in age from babies to older persons. The location where these photos are taken could literally be anywhere in the world. Given this context, it is extremely important that adra, first and foremost, protects the interests and privacy of those who are appeared in the photos and video footage; their rights are paramount. adra is committed to respect and empower individuals and recognize they each have their own values, beliefs, and customs that must be respected and represented appropriately. For these reasons, clear guidelines must be provided to anyone who takes photos and video footage for and on behalf of adra. The purpose of adra's visual policy is to set minimum standards for the agency to follow to ensure respect for the dignity and culture of the people with whom adra works. The scope of this policy applies to all adra staff, interns, volunteers, contractors, and in general to anybody taking photos and video footage on behalf of adra. In Addition, all adra partner offices are expected to apply this policy when taking images and video footage for adra. (The first policy is about consent. Introduce this is Iwan. Iwan represents adra for taking images and recording videos at one of the adra projects in one area. Following adra policy, before his assignment, Iwan must first consult with local field staff in the area. The point is to observe the culture of the local people and their sentiments regarding being photographed/video-graphed. This is important because different places have different cultures. If needed, Iwan may request assistance from local field staff to attain permission/authorization from the local government and local communities. It is important to remember that Iwan must inform the subject about the purpose of taking the image or video recording before they are photographed or video-graphed. For images taken with the primary subject being three or fewer persons, Iwan must obtain the subject's signed approval on the form. If the subject is under 17 years of age, the consent letter must be signed by the parent or a guardian. If the subject is in a group of more than 3 people, then Iwan must obtain verbal permission from that group. Iwan is also obliged to explain to them how the pictures or videos may be used. If Iwan obtains pictures or videos via secondary sources independent of adra such as volunteers, for example, then Iwan must obtain written consent. First, from the volunteers and second, from the person who is the main subject in the photo or video. Images or videos taken of an adra project by a secondary source independent of adra will need to seek consent before releasing images for mass communication such as television, newspaper, etc or commercial use. The second policy is the policy on the composition of the images or videos taken. First, images should be decent and respectful and not present people as victims or in a vulnerable or submissive manner. Second, the subject in the image or video, including children, should be adequately clothed in photographs and not in poses that could be interpreted as sexually suggestive. Third, the use of images should not in any way endanger or stigmatize the people they, include. The third policy is the retention policy. All photos taken by staff should be tagged, categorized, and stored in the agency’s photo library. The fourth policy is copyright policy. All photos of adra subjects/projects taken by an adra employee or contractor (unless otherwise specified in their contract) are the sole property of adra. Photos shall not be submitted for contests or used by any other person/entity without the written consent of adra. The fifth policy is procedures for external sharing. First, media and supporting documentation collected by staff should send to Program Director, Country Director, Marketing Department at the adra Indonesia office. Second, the Marketing Department office staff will be responsible for the final editing and presentation of any stories and images that will be published to the website and adra social media. Project reports specific to donors are the responsibility of the Program Department. Third, Marketing Department will share recordings in official reports, Situation Reports, and on social media platforms to be shared with donors and other stakeholders or for publication on media outlets or through social media outlets. Fourth, staff should refrain from sharing on social media or through other means, their own images relating to their work. Instead, all staff is encouraged to share adra Indonesia’s official media releases. This is a brief presentation on adra's policy regarding visual images.
