The government document repository management component of IWDMS 2.0 enable us to save and retrieve government related documents, to a secure repository using electronic format. To access this application, users can open the web portal by opening the URL, https:// iwdms2 dot Gujarat dot gov dot in. In this portal, user is required to fill the credentials using the Username and Password, along with the Captcha code. Then click on the Login button. Successful Login will redirect User to Dashboard of the IWDMS 2 point 0. To open the government document repository, user can click on the others link/button from the main menu and select the Government document repository management option, as shown here. The user will be redirected to the Home Page of the government document repository. The government document repository screen appears. Here the user can see the list of published documents in this page. A search option is also provided at the top for easily locating the published files. User can also check the details of published document by clicking on the file, as shown here. A new browser window will open up with the details. User can update file created by clicking on the Update button provided. By clicking on the update button, the user can do more actions such as Edit Metadata, Add document from e-File, Add document from Drive, Link Reference Document, Delete Document and Publish. Once the user completes with the updating activity, click on the Publish button to publish the updated file to the system. Please note that the update functionality is available only for the user who created it. Once completed, close the browser tab. Let’s now look how to publish a new document using government document repository management tool. Click on the Publish menu located at the left menu pane. The Publish page will appear as shown here. User can enter all relevant details such as Department/HOD, branch, Document type subject, document number, etc. in this page. In the Display level option the user can select any one of the option such as Department/HOD, Private, Government, Inter Departmental or HOD, or public. Based on the selection, the fields will change, for example, if the user selects Private option then some of the fields will be changed. If this document is to be displayed with other selected department, then the user should select Inter Departmental or HOD option and select then click on the Inter Departmental or HOD button. This will open another browser tab and a selection page appears. Enter few letters of the department in the Select Department or HOD text box and the department name will appear as shown here. Click on the Add button to add the selected department to the list below. Once the entries are over, click on the Save button to continue. Now the selected department is added to the Departments / HOD box, as shown here. Click on the Document will never expire check box if the user does not want to expire after a certain date. The valid till date text box will not be available if this option is selected. After all entries are over, the user can attach the document using any of these options: • Attach file from local drive • Attach file from eFile Select the file and click on the add link to upload the selected file. Or select From eFile option and select the Search link to search and select the eFile from the system. If the user wanted to add a reference document as a link to this file, click on the Link reference document button to link a document from the system. A new browser window will appear as shown here. Fill all relevant details and click on the search option to display documents available for linkage. If you are not aware about the search options, simply click on the search button to search all available documents. The search result will appear as shown here. Click on the reference number of the file and click on the Link button to link the document. Note that a reference document is linked with this file. Once the selection of file is complete along with the reference document, click on the publish button to publish the document. A success message will appear with a reference number. The selected file is now saved and is listed under the home page, as shown here. My Document is an option provided by the government document repository system to list all documents created by the user. Click on the My Document option from the left menu pane to open the My Document page, as shown here. The user will be redirected to the list of repositories created. The user can open the respective file by clicking on it. User can also see the Archive files using the Archive option available with government document repository system. Click on the Archive menu from the left side pane. The Archive page appears as shown here. All Archived files and folders are listed here. Click on the respective department to view the list. The government document repository system also provided with an Advance search option to search file repositories within the system. Click on the advance search option form the left menu pane. Here the user can search different type of file repositories by subject, status, publisher, keywords, department / hod, reference no etc. after entering the details. User can fill the search criteria in the fields and click on Search button to search documents. The search result will appear as shown here. Click on the respective document to open it, as shown here.
